Call Meeting to Order:    6:32

Approval of October Minutes:   Motion by Jeremy, seconded by Steve passes 5-0

*Ashley and Jalaynna arrive to meeting late due to personal matters.

Residents Open Forum: 

                Resident #1: Presents that a neighbor has lived in his residence for 2 years and has not put in a lawn. The resident is not sure if the owner is waiting on back yard as well, but wants clarification on the rules with lawn maintenance.

Resident #2:  The owner surveyed the drainage of his yard. He does not feel the drainage is properly done. Due to this, he does not feel he has to put in a yard until the drainage is fixed.

Joe, a DRC committee member presented the drainage blue print. He has rented equipment to grade the dirt. Tyler will meet the resident Sunday the 11th at 11 AM.

DRC Committee Restructuring and New Committee Formations:

  • The Board will write up detailed description of new committee formations. Expectations, steps for reporting problems, etc. at the next scheduled meeting.
    • Welcoming/Social: Faith Kite was motioned by Kip to be the head of the social committee. Tyler seconded the motion. Passes 6-0.
    • Pool/Landscaping: Tyler asks for a map of sprinkler heads with the zones.  Brian Mull will provide a map that he has from years ago for the zones, heads, and ground well. Tyler recommends to create a checklist to provide to the landscaping business for better service. Brian will provide a rough draft for the checklist, board will adjust and approve in January meeting.
    • Brian Mull to head Landscaping committee
    • Kip motions to appoint Shelly Larsen to DRC committee; Seconded by Jeremey passes 6-0
    • Kip Motions Joyce Casey be appointed to DRC Committee; Seconded by Connie 6-0

Items Taken Action on:

  • Pool Fix/Repair Bid: Connie motions to accept Aquasizers pool Co. to permanently repair step at the cost of $3,500.00. Jalaynna seconded. Passes 7-0.
  • 2017 Pool maintenance Bid: Connie motions to stick with Aquasizers Jeremey seconded. Passes 6-1
  • Rip Rap Repair: Ashley requests that a warranty be placed with the contract. Jalaynna Motions to use Twin Rivers to do the work. The head contact is John Voth. Tyler seconds motion. Passes: 7-0
  • Lawn and Landscaping company bid: Board prefers Hay Lawn Care LLC because they maintain their own chemical treatment. Connie motions to contract Hay Lawn Care for 2017 calendar year. Seconded by Jeremy 7-0.

Account #32038

  • Paying quarterly assessments, but is in fine status because of yard maintenance. Resident is not paying his fines. Kip Motions to put a lien on residence. Jeremey seconds motion passes 7-0.

Priority Business for Next Meeting:

  • Discuss the possibility to update/review bylaws and covenants with attorney
  • Discuss a monthly/Bimonthly newsletter
  • 2017 Reseeding bid
  • Set 3-4 goals for 2017 in order of importance with goal completion dates to track board for the upcoming year.
  • Website Information:
    • HOA websites discussion and take action for new website. Announce launch date. Tabled; Kip will be bringing an additional bid.
    • Look at airplane teeter-totter for permanent fix. Fix teeter-totter by welding and springs.
